Renovation quotation software for ID firms in Singapore

Renovation quotes change after every site visit and client meeting. We build quotation tools, client approvals and progress updates around how your ID firm works, connected to your accounting software, or point you to an existing product when it fits.

In short: Most ID firms lose time on variations, not first quotes: each change should be a separate change order beside the original, approved by the client against that exact version. Start with Xero quotes or QuickBooks estimates for short, standard quotes, and go custom when variations are frequent.

Renovation quotation software is a tool for building itemised renovation and interior design quotes, revising them as the scope changes, and getting client approval on each version. For an ID firm or renovation contractor in Singapore, the hard part is rarely the first quote. It is the variations after the site measurement, the material swaps after a showroom visit, and keeping the homeowner informed once work starts. FYAdvisers builds quotation, approval and progress tools around how your firm works, connected to the accounting software you already use, and we will tell you plainly when an existing product will do.

The day-to-day problems

  • Quotes rebuilt in Excel for every client. Designers copy an old quotation, edit rates by hand and hope the totals are right. Two designers may quote the same carpentry item at different rates.
  • Variations that blur the original scope. The client upgrades a countertop, adds a feature wall or drops a bay window seat. Each change is priced and confirmed in a WhatsApp thread, and the final bill does not match what the client remembers agreeing.
  • Approvals that are hard to prove. A “can, go ahead” in a chat is not a clear record of which version, which items and which total the client accepted.
  • Site photos scattered across phones. Before-and-after shots, hacking works, defects and progress photos sit in personal galleries and group chats, not with the job.
  • Homeowners chasing for updates. Clients message the designer for status because they cannot see progress, and the designer spends evenings answering.
  • Enquiries with no owner. Leads arrive from showflats, referrals, social media and listing platforms. Without a shared record, some are never followed up.

What we build for renovation and ID firms

Quotations by area and trade

A quotation tool where quotes are grouped by area, such as kitchen, master bedroom and common areas, or by trade, such as hacking, masonry, carpentry, electrical and painting. Line items carry quantities, units and rates drawn from your own price list, with notes for materials and finishes. Quotes go out as a branded PDF or a link the client opens in a browser.

Variations as change orders

Each variation is recorded as its own change order alongside the original quote, with the items added, removed or changed and the new total. The original quote stays intact, so everyone can see how the final sum was reached.

Client approvals

The client reviews a quote or variation through a link and approves it. The approval is stored against that exact version, so there is a clear record of what was accepted. Approval steps inside your firm, for example a director checking discounts above a threshold, can sit before anything reaches the client.

Site photos and progress updates

Site staff attach photos and short notes to the job from their phones. The office chooses which updates the homeowner sees, through a simple client portal or a shared link, so clients can check progress without chasing the designer.

Enquiry tracking

A CRM set up for an ID firm: every enquiry, its source, the designer handling it and the next step. We can add instant alerts for new enquiries so the right person hears about them promptly. We built an enquiry form with instant owner alerts for Jeff Learning Center, and the same approach suits renovation enquiries.

Connections to accounting

Accepted quotes, variations and progress billing passed to Xero or QuickBooks where they support it, so amounts are not keyed in twice. Repeated steps, such as sending a deposit invoice once a quote is approved, can be automated with a person checking before anything is sent.

Example from our work

V On Construction prepared quotations with pen and paper. We built a digital quotation workspace where the team works on sections, line items, quantities, pricing and terms in one editable place. Quotes can be exported as a PDF or shared as a link, and change orders handle revisions to estimates that have already been issued. The team reviews each quotation before it goes to a customer. Renovation and ID quotes follow a very similar shape: sections, items, revisions and a customer-ready document.

Build, buy or connect

You may not need anything custom. Before building, consider:

  • Accounting tools. Xero has a quotes feature and QuickBooks Online has estimates, both of which can be sent to a customer and turned into an invoice once accepted. If your quotes are short and fairly standard, start there.
  • Builder and renovator software. Buildxact markets estimating, quoting, variations and client approvals to builders and renovators, with integrations to Xero and QuickBooks. Its sites focus on markets such as Australia, New Zealand and the UK, so check local support, units and tax settings for Singapore before committing.
  • Construction ERP. For a larger design-and-build firm with subcontract packages and progress claims, see our construction page on when an ERP fits.

Features and plans change, so check each vendor’s current documentation and try it with one of your real quotations.

We suggest a custom tool when your quotes have many areas and trades, variations are frequent, your designers still finish every quote in Excel, or you want quotes, approvals, photos and updates in one place that no single product covers well.

How a project runs

  1. Look at real quotes. We review a few recent quotations and variations, your price list and how approvals happen today.
  2. Fix the slowest step first. Usually quoting and variations, before photos, portals or integrations.
  3. Build the smallest useful version. One quote format, end to end, tested by your designers on live projects.
  4. Review and extend. We adjust based on your team’s use, then add client approvals, progress updates or accounting connections.
  5. Hand over. We document the tool, give you access and can look after it through website and app maintenance, or hand it to your own developer.

Where people stay in control

  • Nothing reaches a client automatically. A designer or manager checks scope, items, pricing and terms first.
  • Approvals are tied to versions. A client approves a specific quote or change order, not a vague summary.
  • Photos are shared on purpose. The office chooses which site photos and notes the homeowner sees.
  • Personal data is protected. Client names, addresses, unit numbers and photos of their homes are visible only to the people who need them, in line with Singapore’s PDPA obligations.

Grants

Enterprise Singapore’s grant schemes changed in 2026: the Productivity Solutions Grant closed to new applications on 29 September 2026, and support now runs through the EDGE Grant. Check Enterprise Singapore and GoBusiness for current eligibility before you commit.

What to prepare before we talk

  • Three or four recent quotations and at least one variation, with client details removed.
  • Your current price list or rate sheet, however rough.
  • How a client moves from first enquiry to handover, and who handles each step.
  • The accounting software you use, and any tools you have already tried.

Get in touch and we will tell you whether to build, buy or connect.

Frequently asked questions

What should renovation quotation software do?

It should let you build itemised quotes by area or trade, reuse your own rates, record variations without overwriting the original, collect client approval and produce a clean PDF or link. Ideally it also passes accepted work to your accounting software.

Is there interior design quotation software made for Singapore?

Generic tools such as Xero quotes and QuickBooks estimates are used here, and overseas products such as Buildxact target builders and renovators. We did not find a widely used product built specifically for Singapore ID firms, so check any vendor's local support and try it with one of your real quotations.

Can clients approve quotes and variations online?

Yes. A client can open a quote or variation as a link, review the line items and approve it, with the approval recorded against that version. Your team still decides what is sent and when.

Can site photos and progress updates go to the homeowner?

Yes. Site staff can attach photos and short notes to a job, and the office chooses which updates appear in the client's view. Nothing is shared automatically without someone checking it.

Do we need a CRM as an ID firm?

If enquiries from showflats, referrals, social media and listing platforms are followed up by different designers with no shared record, a simple CRM helps. It can be a well-configured existing product rather than anything custom.
