Your CRM
  1. Follow-up tasks
  2. Owner alerted
  3. Your sales team

In short: For most B2B SMEs the answer is to buy a CRM such as HubSpot, Zoho CRM, Pipedrive or Salesforce, then set its pipeline to match how you sell and connect web forms, email and WhatsApp. FYAdvisers does the setup and data migration but is not a vendor partner and does not resell licences.

A CRM (customer relationship management system) is the shared record of who your customers and prospects are, what has been said to them and what happens next. For a B2B business in Singapore, it replaces the spreadsheet, the inbox search and the memory of whoever handled the account last. FYAdvisers helps small and mid-sized B2B companies choose a CRM, set it up around their own sales process and connect it to the tools where enquiries and conversations actually happen. We set up and connect the CRM you choose. We are not a vendor partner and do not resell licences.

This is part of our IT consultancy work.

What we set up

A pipeline that matches how you sell

Most CRMs arrive with a generic set of deal stages. We replace them with the stages your team really uses, from first contact to quotation, negotiation and award, and agree what must be true before a deal moves forward. Fields are kept to the ones people will fill in. A CRM full of empty fields is no more useful than a spreadsheet.

Your records, moved out of spreadsheets

Customer data usually lives in several places: a master spreadsheet, old email threads, business cards and someone’s phone. We gather it, remove duplicates, standardise company names and fields, and agree how companies, contacts and deals link together. We test the import on a sample first, then move the rest and check it with your team.

Web forms, email and WhatsApp connected

New enquiries should land in the CRM without anyone copying them in. We connect your website forms so each submission creates or updates a record, link team inboxes so emails are logged against the right contact, and connect WhatsApp where your CRM and plan support it. The aim is one place to see the whole conversation with a customer.

Follow-ups and alerts

Simple automation does most of the work: assign a new lead to the right person, alert them straight away, create a follow-up task when a quotation is sent, and flag deals that have gone quiet. These rules are easy to understand and change. Where our workflow automation work is needed, we connect the CRM to the other steps around it.

Feeding the CRM with new opportunities

A CRM is only as useful as what goes into it. Two of our services are designed to feed it:

  • Buying signals. Our signal-based lead generation work finds companies showing signs they may need what you sell, and records them in the CRM with the reason they were flagged.
  • Enquiries. Our speed-to-lead work makes sure every inbound enquiry is captured, organised and sent to the right person quickly. At Jeff Learning Center, we built an enquiry form that suggests a suitable course and alerts the owner as soon as a lead leaves a phone number.

Build, buy or connect

For a CRM, the answer is almost always to buy one and connect it. Well-known options include:

  • HubSpot. A free CRM edition with limits on users and contacts, and paid sales, marketing and service products on top. Easy to start with; costs rise as you add features and seats.
  • Zoho CRM. Part of a wider suite of Zoho business applications, with a free edition for very small teams and paid editions beyond that. A good fit if you already use other Zoho tools.
  • Pipedrive. Built around a visual sales pipeline and simple to learn. It offers a free trial rather than a permanent free plan.
  • Salesforce. Highly configurable, with editions for small businesses as well as large ones. It suits teams with more complex processes and usually needs more setup.

If your team is small and your process is straightforward, just buy one of these, follow the vendor’s setup guide and keep it simple. You may not need us. We are most useful when the CRM has to fit a specific sales process, take in data from several places or connect to tools such as accounting, quotation or tender software. Where a product cannot do something your business depends on, such as a quotation tool or a client portal, we build that piece and connect it to the CRM through system integration rather than replacing the CRM.

How we work

  1. Map your sales process. We look at how a lead becomes a customer today, who does what and where information gets lost.
  2. Choose the CRM. We compare suitable products against your process, connections and budget. You buy the licences directly from the vendor.
  3. Set it up and migrate. We configure the pipeline, fields and permissions, then move your records with a tested import.
  4. Connect and automate. Forms, email, WhatsApp, alerts and follow-ups, tested with real examples.
  5. Train and hand over. Short sessions for your team, written notes on how it is set up, and support afterwards if you want it.

Where people stay in control

  • People own the deal. Automation assigns, reminds and records. Your team decides what to say and when.
  • Messages are drafted, not sent blindly. Where we prepare follow-up emails or replies, a person reviews them before they reach a customer.
  • Signals are suggestions. A flagged company is a reason to look, not a confirmed opportunity.
  • Personal data is handled with care. We set access by role and help you keep the CRM consistent with your obligations under the PDPA, such as collecting only what you need and keeping records accurate.

Who this suits

  • B2B companies selling to other businesses or government, with a sales cycle longer than a single call
  • teams whose customer records live in spreadsheets, inboxes and personal phones
  • businesses that bought a CRM, never finished setting it up and went back to spreadsheets
  • owners who want enquiries and follow-ups tracked without adding admin

What to prepare before we talk

  • A short description of how a lead becomes a customer today.
  • The CRM you use or are considering, if any.
  • Where your customer records live now, and roughly how many there are.
  • The tools the CRM must connect to, such as your website, inbox, WhatsApp or accounting software.

Frequently asked questions

Which CRM is best for a small B2B company in Singapore?

There is no single best one. HubSpot, Zoho CRM, Pipedrive and Salesforce all suit different teams. The right choice depends on how you sell, how many people use it, what it must connect to and what you are willing to pay each month. We compare them against your process before recommending one.

Which CRM do you work with?

We set up and connect the CRM that suits your sales process, including HubSpot, Zoho CRM, Pipedrive and Salesforce. You hold the licences directly with the vendor, and we configure the system and connect it to your other tools.

Can you move our customer data from spreadsheets into a CRM?

Yes. We clean up duplicates and inconsistent fields, agree how companies, contacts and deals relate to each other, and test the import on a sample before moving everything.

Can a CRM connect to WhatsApp?

Often, through the vendor's own integration, the WhatsApp Business Platform or an automation tool. What is possible depends on the CRM and the plan you are on, so we check this before you commit.

How much does CRM implementation cost?

It depends on the CRM, the amount of data to migrate, the number of connections and the support you need afterwards. CRM licences are paid to the vendor separately. We outline the proposed work and pricing after an initial conversation.
