HubSpot vs Zoho CRM: which suits a Singapore SME? (2026)

HubSpot and Zoho CRM are the two names most Singapore SMEs shortlist first. Zoho is cheaper per user, bills in SGD and offers a Singapore data centre. HubSpot is easier to adopt and stronger when marketing and sales work from the same records. Here is how they compare, with prices checked on each vendor's own site in October 2026.

In short: Pick Zoho CRM if you want SGD pricing, a Singapore data centre and a low per-user cost with deep customisation. Pick HubSpot if marketing and sales share one easy system and you value a free CRM to start. Both have free tiers, so test with real data first.

The verdict

Choose Zoho CRM if price per user matters, you want to pay in Singapore dollars, you need your data hosted in Singapore, or you expect to customise fields, modules and workflows heavily. Zoho also suits businesses already using other Zoho apps.

Choose HubSpot if your marketing and sales teams need to work from the same contact records, you want a CRM people will adopt with little training, or you want to start on a free plan and add paid features later.

Both are credible choices for a Singapore SME. The better one depends on your team, your budget and where your data must live, not on which brand is bigger.

Pricing in practice

Zoho publishes SGD prices on its pricing page, and the annual rate is up to 34% lower than monthly billing. Local taxes such as GST are added on top. For a five-person sales team on Zoho CRM Professional billed annually, list price is S$28 x 5 = S$140 per month.

HubSpot’s Sales Hub prices are shown in US dollars per seat. In October 2026 the Starter tier was listed at US$20 per seat per month billed monthly, with a discount for new customers described as available for a limited time. Professional started at US$100 and Enterprise at US$150 per seat per month. HubSpot also uses account-level HubSpot Credits for some AI features, so read what is included in each edition before comparing totals.

Two practical points:

  • Exchange rate exposure. Paying in USD means your monthly cost in SGD moves with the exchange rate. Zoho’s SGD billing removes that.
  • Upgrade jumps. HubSpot’s step from Starter to Professional is large. Check which features you need, such as automation, custom reporting or sequences, and which tier first includes them.

Features

Sales pipeline and automation

Zoho CRM Standard already includes workflows and assignment rules, cadences, reports and dashboards, and sales forecasting. Professional adds CPQ, email intelligence, process automation and inventory management. Enterprise adds territory management, custom functions, journey orchestration and customer portals.

HubSpot’s sales tools are built around the same contact database as its marketing, service and content products. That makes it straightforward to see which campaign or page a lead came from and to hand leads from marketing to sales without exports.

Customisation

Zoho is the more flexible of the two at lower price points. Custom modules, fields, layouts and functions let you shape it around unusual processes, such as project-based sales or distributor networks. The trade-off is that a heavily customised Zoho setup needs someone to maintain it.

HubSpot is more opinionated. That helps adoption, because screens and workflows look the same for every user, but complex custom logic often needs higher tiers.

AI features

Both vendors now include AI tools. Zoho lists AI agents from Standard and an AI sales assistant on Enterprise. HubSpot offers AI features across its hubs, some of which consume HubSpot Credits. Test the specific feature you care about during a trial rather than relying on feature names.

Singapore specifics

Data residency

Zoho lists Singapore as one of its data centre regions. HubSpot lists data centres in the US, EU, Canada and Australia. If you handle personal data under the PDPA, either can be used, but some clients and sectors ask for in-country hosting. Confirm the region when you create the account, because moving later is usually difficult.

GST, invoicing and InvoiceNow

Neither CRM is your accounting system. GST returns and InvoiceNow e-invoicing are normally handled in accounting software, which the CRM connects to. When you shortlist, check that the CRM integrates cleanly with the accounting software you already use, or plan for an integration. Our accounting firms directory can help if you are also reviewing bookkeeping.

Grants

The Productivity Solutions Grant closed to new applications after September 2026 and EDGE has replaced it. We do not claim that either product is eligible. Read our CRM grant page and try the EDGE grant calculator, then confirm with the agency.

Ease of use and adoption

A CRM only works if your team updates it. HubSpot’s standard screens and fixed workflows tend to shorten training for new users. Zoho has a steeper learning curve once it is customised, but a clean setup with only the fields your team needs can be just as simple day to day.

Whichever you choose, keep the first version small: one pipeline, the fields you actually report on, and two or three automations. Add more once people use it.

Questions to ask before you commit

  • Which edition first includes our must-have features? Write down the five features you cannot work without and find the lowest tier that has all of them on each pricing page.
  • Is the price introductory? Note any limited-time offer and the price after it ends.
  • Where will our data be hosted? Choose the region at sign-up and record it.
  • Who will maintain custom fields and automations? Name an internal owner before you customise anything.

Which should you choose?

  • Owner-led sales team of one to three people: Start on either free tier. Zoho’s free edition covers three users; HubSpot’s free CRM suits teams that also want simple forms and email tracking.
  • B2B team of five to twenty on a fixed budget: Zoho CRM Professional usually gives more automation per dollar, billed in SGD.
  • Marketing-led business generating inbound leads: HubSpot, because marketing and sales share one database and reporting.
  • Business with unusual processes or many custom records: Zoho, with a budget for someone to maintain the setup.
  • Business that must host data in Singapore: Zoho, after confirming the region at sign-up.

Frequently asked questions

Is Zoho CRM cheaper than HubSpot?

On list price, usually yes. In October 2026 Zoho CRM Standard was S$17 per user per month billed annually, while HubSpot Sales Hub Starter was listed at US$20 per seat per month billed monthly, with a limited-time discount for new customers. The gap widens at higher tiers. Check both pricing pages on the day you buy, because offers change.

Can I keep my CRM data in Singapore?

Zoho lists a Singapore primary and secondary data centre. HubSpot lists data centres in the US, EU, Canada and Australia, but not Singapore. If your contracts or clients require Singapore hosting, confirm the region with the vendor before you sign up, because the region is set when the account is created.

Do HubSpot and Zoho CRM have free plans?

Yes. HubSpot offers a free CRM with no credit card required. Zoho CRM has a free edition for up to three users. Both are useful for testing, though most growing sales teams move to a paid tier for automation and reporting.

Can I use a PSG grant for HubSpot or Zoho CRM?

The Productivity Solutions Grant closed to new applications after September 2026 and has been replaced by EDGE. We do not say whether any product qualifies. See our grant pages and the EDGE calculator, and confirm eligibility with the relevant agency.

Do I need a consultant to set up either CRM?

Not always. A small team with a simple pipeline can set up either one itself. Help is worth it when you are migrating messy data, connecting accounting or e-commerce systems, or building approval workflows.
