In short: The biggest time savings are in WhatsApp work: grouping chats by deal, drafting replies and Chinese translations, listing drafts and viewing scheduling. The agent reviews and sends every message, and CEA advertising details and Do Not Call checks still apply to WhatsApp.
AI for real estate agents is most useful in the parts of the job that are repetitive and text-heavy: replying to WhatsApp enquiries, keeping track of who said what in each deal, drafting listing descriptions and arranging viewings. In Singapore, a good setup leaves the agent in charge of every message, advertisement and piece of advice, because the agent carries the responsibility under CEA’s rules and the PDPA. FYAdvisers designs and builds these tools for individual agents, teams and agencies, and connects them to WhatsApp, calendars and the records you already keep.
Where the time goes today
Property work happens in conversations, and the pressure points are familiar:
- WhatsApp is the system of record. Buyers, sellers, tenants, landlords, co-broking agents and lawyers each sit in separate chats. Key details, such as a budget, a move-in date or a promised document, are buried in long threads.
- Enquiries arrive at all hours. A portal enquiry or a referral needs a prompt, accurate reply, but the agent is often at a viewing.
- Listing copy is rewritten for every channel. The same unit is described for portals, social posts and messages, each in a different length and tone.
- Viewing schedules shift constantly. Times are agreed in chat, changed by message and rarely land in one calendar.
- Bilingual work doubles the effort. Many clients prefer Chinese, and replies need careful translation.
What we build for agents and agencies
WhatsApp lead handling and follow-up
A WhatsApp AI assistant that reads incoming enquiries, picks out the key details, suggests a reply and flags what needs follow-up. For new leads, we can set up instant alerts so the right agent sees the enquiry while it is fresh. By default, the assistant prepares drafts and the agent sends them.
Listing description drafts
A drafting tool that turns your own notes, unit details and photos list into a first draft for each channel. It works only from facts you supply. The agent checks every figure, feature and claim, and adds the details CEA requires, before anything is published.
Viewing scheduling
Calendar tools that read a proposed time from a conversation, check the agent’s availability and create the appointment for the agent to confirm. Reminders and changes stay in one place instead of across several chats.
Deal tracking
A structured view of each deal: the parties involved, the property, key dates, documents requested and the next step. This can sit in a lightweight CRM or in a purpose-built workspace, depending on how your team works. For agencies, we can add shared views for team leaders, with access limited to the deals each person handles.
An example from our work
For an individual PropNex agent, we built a conversation workspace that connects to the agent’s WhatsApp. Related chats are grouped into deals. AI extracts the people involved, deal details, outstanding items and follow-up flags, and the agent can ask questions across the conversation history. The workspace prepares context-aware reply drafts and English to Chinese translations, and includes Google Calendar tools for appointments. Every reply draft stays with the agent to review and send.
The rules that shape the design
These points come from the Council for Estate Agencies (CEA) and the Personal Data Protection Commission (PDPC), checked in October 2026. Rules change, so we check them again at the start of each project, and your agency’s compliance team has the final word.
Advertising details
CEA states that property agent advertisements must include the agent’s name, CEA registration number and phone number, and the agency’s name and CEA licence number. For newspaper classified ads and phone text ads, only the agent’s name and phone number are required. See CEA’s page on checking whether a property agent is registered. A listing tool should add these details from the agent’s profile, not leave them to the AI.
Do Not Call rules on WhatsApp
CEA reminds agents that telemarketing messages sent through apps such as WhatsApp are covered by the Do Not Call provisions when addressed to a Singapore telephone number. Before sending a marketing message, check the number against the DNC Registry unless you have clear and unambiguous consent in writing or another accessible form, or an exemption applies. CEA notes that DNC results can be relied on for up to 30 days. Any follow-up tool should separate replies to an existing enquiry from marketing, and never send marketing on its own.
Personal data
CEA’s personal data protection page points agencies to PDPC’s Advisory Guidelines for the Real Estate Agency Sector, along with PDPC’s guidelines on the DNC provisions and on consent for marketing. Where AI processes client conversations, PDPC’s Advisory Guidelines on the use of personal data in AI recommendation and decision systems are also relevant. In practice, we limit what data is stored, who can see it and how long it is kept, and we tell you which AI provider processes it.
Build or buy
Some needs are met well by existing products. WhatsApp Business Solution Providers such as respond.io and WATI offer shared inboxes, broadcast tools and their own AI features. General CRMs such as HubSpot handle contacts and pipelines. Your agency may also provide its own systems, so check those first.
A custom build makes sense when you want AI that understands deals across many chats, works in English and Chinese, fits your agency’s approval steps or connects tools that do not talk to each other. If an off-the-shelf product covers your needs, we will say so.
What it costs
We outline costs after a conversation, because they depend on a few drivers:
- how many WhatsApp numbers and agents are involved;
- whether you use Meta’s WhatsApp Business Platform directly or through a provider with its own subscription;
- AI usage, which grows with the number and length of conversations processed;
- the number of connections, such as calendars, CRMs or agency systems;
- hosting, support and how much review workflow is needed.
Our AI chatbot cost guide explains the running costs in more detail.
How a project runs
- Discovery. We look at how enquiries arrive, how deals are tracked and where time is lost.
- Prototype with your real data. We test on a sample of your own conversations or listings, with your consent and with access controlled.
- Build. We build the smallest useful version, such as WhatsApp deal grouping or listing drafts, and connect it to your calendar.
- Human review. You use it on live work, approving every draft, and we adjust prompts and steps.
- Monitoring. We watch for errors and changes in WhatsApp or AI provider terms, and keep the tool up to date.
Who this suits
- Individual agents handling many active deals across WhatsApp.
- Teams that want a shared view of leads and viewings.
- Agencies exploring AI tools for their agents with clear review and data rules.
What to prepare before we talk
- A rough count of the WhatsApp chats and active deals you handle each month.
- Two or three anonymised examples of a typical enquiry and a listing description.
- The calendar, CRM or agency tools you use today.
- Any agency policies on advertising, client data or approved software.

Frequently asked questions
What can AI do for a real estate agent in Singapore?
It can group WhatsApp chats by deal, pull out the people, details and outstanding items, draft replies and translations for the agent to review, prepare first drafts of listing descriptions from your own notes, and help book viewings in a shared calendar. It does not replace the agent's judgement on pricing, advice or negotiation.
Can AI send WhatsApp messages to clients automatically?
It can, but we do not recommend it for anything involving price, availability or advice. Our default is that AI prepares a draft and the agent reviews and sends it. Marketing messages to Singapore numbers also fall under the Do Not Call provisions, which CEA reminds agents apply to WhatsApp.
Do CEA advertising rules apply to listings written with AI?
Yes. CEA's rules apply to the advertisement, however it was drafted. CEA states that agent advertisements must show the agent's name, CEA registration number and phone number, and the agency's name and CEA licence number. The agent remains responsible for accuracy, so every AI draft needs a check against the facts.
Have you built AI tools for property agents?
Yes. For an individual PropNex agent, we built a workspace that connects to WhatsApp, groups related chats into deals, extracts people, deal details and outstanding items, and prepares reply drafts and English to Chinese translations. It also includes Google Calendar tools for appointments. The agent reviews and sends every reply.
Is it safe to put client conversations into an AI tool?
It depends on how the tool stores and processes the data. Ask where conversations are kept, who can see them, whether they are sent to an AI provider and how long they are retained. PDPC has advisory guidelines for the real estate agency sector and for personal data in AI systems that are worth reading first.
