In short: For most centres, a ready-made tuition product such as Teachworks or TutorCruncher covers timetables, attendance and invoicing; a school ERP is more than you need. Build custom pieces only where it falls short, typically the enquiry, trial and placement flow or accounting links.
A tuition management system keeps a tuition centre’s day-to-day work in one place: parent enquiries, trial lessons, class timetables, teacher schedules, attendance, make-up lessons, fees and reminders. For most Singapore centres, the right answer is a ready-made tuition product with a few well-chosen connections, not a school ERP. FYAdvisers helps centres pick that product, then builds the focused tools it does not cover, such as an enquiry and placement flow, and connects them to the systems you already use.
This page is about running the centre. Your teaching, and how you win parents’ trust, stays yours.
Where tuition centres lose time
Many centres start with the same set of tools: WhatsApp or WeChat for parents, a spreadsheet or whiteboard for the timetable, and a separate list of who has paid. That works with a handful of classes. It starts to strain when the centre grows.
Enquiries arrive everywhere
Parents message the centre’s phone, the owner’s phone, a website form, Facebook and Instagram. Each enquiry needs the same few details: the child’s level, subject, school, preferred days and a contact number. When those details sit in a chat thread, someone has to ask for them again, and some enquiries are answered late or not at all.
Trial lessons and placement
A parent asks for a trial. Someone has to decide which class suits the child’s level, check there is a seat, confirm the time and then follow up after the trial to ask whether they will enrol. Each step is small, and each is easy to miss in a busy week.
Timetables, teachers and rooms
Classes are grouped by level and subject, with teachers and rooms that cannot be double-booked. Term breaks, public holidays and exam periods shift the schedule. Make-up lessons and replacement classes add another layer, and a timetable kept in a spreadsheet does not warn you about clashes.
Attendance and make-ups
Attendance matters for make-up lessons, for fee adjustments and for answering a parent who asks whether their child came. Paper registers and chat messages make that hard to look up later.
Fees and reminders
Monthly or term fees, deposits, sibling discounts, material fees and pro-rated amounts for students who join mid-month all need tracking. Chasing unpaid fees through personal chat is uncomfortable for staff and easy to forget.
Parent updates
Parents expect to hear about schedule changes, cancelled classes and progress. Without a system, updates go out one chat at a time.
What we build for tuition centres
We build focused tools and connect them to the system you choose. Typical pieces are:
- Enquiry capture and routing. One form that collects the child’s level, subject and contact details, with an instant alert to the person who replies. See speed to lead.
- Placement suggestions. AI that reads the enquiry and suggests a suitable class or course for your team to check before anyone contacts the parent. See AI integration.
- Trial lesson tracking. A simple record of who is booked for a trial, who attended and who still needs a follow-up call.
- Reminders and follow-ups. Scheduled reminders for trials, fees and schedule changes, sent through the channels your chosen product supports. See workflow automation.
- Parent portal. A page where parents see their child’s schedule, attendance and invoices, if your product does not already provide one. See client portal development.
- Connections. Linking your tuition product, website forms, payment provider and accounting software, such as Xero or QuickBooks, so details are not typed in twice. See system integration.
Example from our work
Jeff Learning Center is a tuition centre that handled enquiries manually through WeChat, with an admin assistant involved throughout. We built an enquiry form that collects details such as the student’s name and grade. AI uses that information to determine the best-matching course. When a parent supplies a phone number, Jeff is notified immediately with the details and the suggested course. The suggestion goes only to Jeff, not to the parent, and his team makes the contact.
The pattern applies to most centres: capture the right details once, suggest a match, alert one named person, and let a person reply.
Ready-made tuition software, and when to just buy one
Several products are built for tutoring businesses. Two examples:
- Teachworks is management software for tutoring centres, music schools, language schools and similar businesses. Its site describes scheduling for individual and group lessons with tutor availability and room bookings, student profiles and lesson history, automated invoices and recurring billing with online payments, automated lesson reminders, and calculation of teacher hours from the calendar. It lists integrations including Stripe and QuickBooks.
- TutorCruncher is aimed at tutoring businesses and agencies. Its site describes a scheduling calendar with SMS and email reminders, automatic invoicing with card or bank payments, tutor pay runs, a client and parent login for booking, paying and following progress, and lesson reports from tutors. It lists Xero and QuickBooks sync, Stripe, Zapier and an API.
Features, plans and pricing change, so check each vendor’s current documentation and confirm how it handles Singapore payment methods such as PayNow before you commit.
Just buy one when:
- your classes, billing and parent communication fit the product’s way of working;
- you have one or two centres and no unusual fee rules;
- your main need is a shared timetable, attendance and invoicing.
Add custom pieces when:
- enquiries and placement are where you lose the most parents, and the product does not handle them well;
- you need the product to talk to your website, payment provider or accounting software and no ready integration exists;
- you run several centres or programmes with fee rules the product cannot express.
Enterprise Singapore’s grant schemes changed in 2026: the Productivity Solutions Grant closed to new applications on 29 September 2026, and support now runs through the EDGE Grant. Check Enterprise Singapore and GoBusiness for current eligibility before you commit.
How a project runs
- Map the parent’s journey. We follow one enquiry from first message to first paid month, and note where details are retyped or forgotten.
- Choose the core product. If a tuition product fits, we help you set it up. If not, we explain why.
- Build the smallest useful piece. Often the enquiry and trial flow, tested with real enquiries from your channels.
- Review with your team. Admin staff and teachers use it for a few weeks, and we adjust before adding reminders, a portal or integrations.
- Hand over. We document how it works, give you access and can look after it through website and app maintenance.
Parent and student data
A tuition centre holds personal data about children: names, schools, levels, results and parents’ contact details. Under Singapore’s PDPA you need consent for how you use it, reasonable security and limited access. We keep access to the people who need it, avoid copying data into tools that do not need it, and make sure automated suggestions are seen by staff, not sent straight to parents. See the PDPA data protection obligations.
What to prepare before we talk
- How enquiries reach you today, and who replies.
- Your current timetable, with student names removed.
- How you charge fees, including deposits, discounts and make-up rules.
- Any software you already pay for, including accounting and payment tools.
- The one step that takes the most staff time each week.

Frequently asked questions
What is a tuition management system?
It is software that keeps the running of a tuition centre in one place: student and parent records, enquiries and trial lessons, class timetables, teacher schedules, attendance, fees and reminders. Some also include a portal or app where parents check schedules and pay.
Is a school management system the same thing?
No. School ERP and student management systems are built for schools, with admissions, exams, transport and hostels. A tuition centre usually needs something smaller: enquiries, classes, attendance, make-up lessons and monthly fees. Many results for this search are school systems that a centre will not need.
Should we buy a ready-made product or build our own?
Buy first if a product such as Teachworks or TutorCruncher fits how you run classes and bill parents. We suggest building only the parts a product cannot handle, such as your own enquiry and placement steps, or a connection between the product and your accounting software.
Can the system send fee reminders and class updates to parents on WhatsApp?
It can, with care. Sending through WhatsApp from software needs the WhatsApp Business Platform, approved message templates and the parent's agreement to receive messages. Email and SMS are simpler to set up. We check what your chosen product supports before suggesting anything.
How much does a custom tuition management system cost?
It depends on how many steps you want covered, the number of integrations and the support you need afterwards. We outline the proposed work and pricing after an initial conversation.
