System integration means connecting the separate software a business uses so that information entered in one place appears, accurately, wherever else it is needed. FYAdvisers connects the tools that B2B companies in Singapore already rely on: website forms, CRM, accounting, inventory, email, WhatsApp and spreadsheets. The aim is simple: each piece of data is entered once, by one person, and every other system receives it without retyping. This is software and API integration. We do not install networks, servers or hardware.

This is part of our [IT consultancy](/services/it-consultancy/) work.

## What we connect

### Enquiries and your CRM

A website form, email or messaging enquiry creates or updates a record in your CRM, with the source noted and a named person alerted. If you are still choosing or setting up a CRM, see [CRM implementation](/services/crm-implementation/).

### Sales and accounting

A confirmed quotation or won deal can prepare an invoice draft or customer record in accounting software such as Xero or QuickBooks, so your finance team checks it rather than retyping it.

### Inventory and ERP

Stock levels, orders and product details can be kept consistent between an inventory or ERP system and the places your sales team works, so a quotation does not promise something you no longer hold.

### Email, WhatsApp and calendars

Messages and appointments can be linked to the right customer or deal, and reminders sent when nobody has replied.

### Google Sheets and reporting

Many teams keep a working spreadsheet alongside their main systems. We can feed it automatically, or read from it, so it stays a useful view rather than another place to update by hand.

### Government and public data

Singapore publishes many public datasets on data.gov.sg, and some can be read through an API. Where a dataset is relevant to your work, we can bring it into your own tools on a schedule instead of downloading files by hand.

## Examples from our work

At [Jeff Learning Center](/work/jeff-learning-center/), we built an enquiry form that collects student details, uses AI to suggest a suitable course and alerts the owner as soon as a lead leaves a phone number. The form, the matching step and the alert work together, so the owner's team receives one complete enquiry to follow up.

For [an individual PropNex agent](/work/propnex-agent/), we built a workspace that connects WhatsApp, groups related conversations into deals and prepares reply drafts for the agent to review. Google Calendar tools connect appointment planning to the same workspace.

## Build, buy or connect

Before writing any code, we check what your software already offers. Many products include ready-made connections to common tools, listed in their own settings or app marketplaces. If a built-in connection does what you need, use it; it is maintained by the vendor and costs you nothing extra to build.

When nothing built-in fits, there are two broad options.

**Integration platforms** such as Zapier, Make and n8n connect hundreds of applications through visual workflows. They are quick to set up and easy for someone else to change later. Zapier and Make are hosted services; n8n can also be run on your own server. They suit most low to moderate volume connections, such as passing form submissions to a CRM or a spreadsheet.

**Custom API code** is a small application we write and host that talks to each system directly. It makes sense when:

- the logic is complicated, with many conditions, lookups or data transformations;
- volumes are high enough that usage-based platform pricing becomes significant;
- you need tighter control over where data is stored and who can see it;
- no ready-made connector exists for one of your systems.

We will tell you if a platform workflow is enough. If the connection needs its own screens or approvals, it may be better treated as [custom software](/services/custom-software-development/) or a broader [workflow automation](/services/workflow-automation/).

## Reliability

An integration that fails silently is worse than none, because people stop checking. We build each one with:

- **Error alerts** to a named person when a step fails, not just a log nobody reads.
- **Retries** for temporary problems, such as a service being briefly unavailable, with care to avoid creating duplicate records.
- **Logs** that show what was sent, when and what came back, so a problem can be traced.
- **A documented way to rerun** a failed item once the cause is fixed.

## Security and data handling

Integrations move customer and business data between systems, so we keep access narrow. Each connection uses the minimum permissions it needs, credentials are stored securely rather than in shared documents, and we avoid copying personal data into places it does not need to be. We agree with you what data each connection handles. If personal data is involved, your obligations under Singapore's Personal Data Protection Act still apply; the [PDPC's summary of data protection obligations](https://www.pdpc.gov.sg/overview-of-pdpa/the-legislation/personal-data-protection-act/data-protection-obligations) is a useful starting point.

## How we work

1. **Map the data.** We trace where each piece of information starts, where it is retyped and who relies on it.
2. **Check each system.** We confirm what each product's API, webhooks or exports support, and flag any limits early.
3. **Connect one flow first.** One integration, end to end, tested with real examples and real edge cases.
4. **Hand over or maintain.** You get documentation, access and a clear note of what to check if something stops. We can look after it through [website and app maintenance](/services/website-maintenance/).

## Where people stay in control

- **Drafts where it matters.** Invoices, replies and quotations created by an integration are prepared for review, not sent automatically.
- **One source of truth.** We agree which system owns each piece of data, so two tools do not overwrite each other.
- **Visible failures.** When something goes wrong, a person hears about it and decides what to do.

## Who this suits

- B2B companies whose team retypes the same details into several systems
- businesses with a CRM, accounting package or spreadsheet that never quite agree
- owners who want one dependable connection before a larger project

## What to prepare before we talk

- A list of the software you use, and which plan or edition if you know it.
- The step where information is retyped or most often goes wrong.
- Roughly how many records move each day or week.
- An example or two, with personal details removed.

[Get in touch](/#contact) and we will suggest the first connection worth making.

## Frequently asked questions

### What is system integration for a small business?

It means connecting the software you already use so data moves between them without retyping. A website enquiry can create a CRM record, a won deal can create an invoice draft in your accounting software, and the right person can be alerted. This page covers software integration, not network cabling, servers or hardware.

### Should we use Zapier, Make or n8n, or custom code?

An integration platform suits many connections: it is quick to set up and easy to change. Custom API code makes sense when volumes are high, the logic is complicated, you need tighter control over where data goes, or no ready-made connector exists. We explain the trade-offs for your case before recommending either.

### Can you connect any two systems?

Only if they offer a way in, usually an API, a webhook or a reliable export. We check what each product supports first and tell you plainly where a connection is not possible or would be fragile.

### What happens when an integration fails?

We design for it. Failed steps are logged, retried where that is safe, and reported to a named person so nothing disappears quietly. We also document how to check and rerun a failed item.

### How much does system integration cost?

It depends on the number of systems, the volume of data and the support you need afterwards. We outline the proposed work and pricing after an initial conversation.
