A transport management system (TMS) in Singapore is software that takes in delivery or haulage jobs, assigns them to drivers and vehicles, records proof of delivery and passes completed work to billing. For many local hauliers, couriers and 3PLs, the right answer is an established TMS or delivery management product, set up properly and connected to the accounting and warehouse tools already in use. FYAdvisers builds the focused pieces around it, such as job booking, customer tracking portals and integrations, and tells you plainly when a product will do the whole job.

This is part of our [IT consultancy](/services/it-consultancy/) work.

## Where logistics work gets stuck

Most logistics firms we speak to are not short of software. They are short of joined-up software. The same job is often typed three or four times on its way from booking to invoice.

### Bookings arrive in every format

Customers send jobs by email, WhatsApp, phone, spreadsheet uploads and their own portals. Someone retypes each one into the dispatch sheet or TMS. Collection windows, cargo details and special instructions get lost in the copying.

### Dispatch lives in one person's head

Assigning jobs to drivers and lorries is often done on a whiteboard, an Excel sheet or a group chat. It works until that person is on leave, or until a driver calls in sick at 6am and nobody else knows which jobs can move.

### Proof of delivery comes back late

Paper delivery orders return to the office at the end of the day, or the end of the week. Disputes about what was delivered, and when, take time to resolve, and billing waits until the paperwork is found.

### Customers keep asking "where is my shipment?"

Without a tracking link or portal, every status question becomes a call or a message to your operations team, who then have to call the driver.

### Billing does not match the work

Waiting time, extra drops, tailgate charges and after-hours surcharges are agreed per customer but recorded inconsistently. Invoices go out late or miss charges because the job record and the rate card live in different places.

### Warehouse and transport do not talk

For 3PLs, the warehouse system knows what was picked and the transport side knows what was delivered, but the two do not share a job reference. Reconciling them is manual.

## What we build for logistics companies

We build focused tools and connect them to the system you choose. Typical pieces include:

- **Job booking forms and intake.** A booking page or customer portal that captures the details your dispatchers need, with required fields, collection windows and cargo notes, and sends the job straight into your TMS or dispatch board.
- **Dispatch boards.** A simple view of today's jobs, drivers and vehicles, where a dispatcher assigns and reassigns work, for firms that have outgrown a spreadsheet but do not need a full TMS yet.
- **Proof of delivery capture.** A mobile-friendly step for drivers to record a signature, photo and time at delivery, linked to the job, so the office sees it as it happens.
- **Customer tracking portals.** A [client portal](/services/client-portal-development/) where your customers book jobs, see status, download delivery proofs and view invoices, without calling your team.
- **Rate cards and billing preparation.** Customer-specific rates and surcharges held in one place, so completed jobs turn into accurate invoice lines.
- **Integrations.** Connections between your booking channels, TMS, warehouse system and accounting software such as Xero or QuickBooks, so a job reference follows the work from booking to invoice. See [system integration](/services/system-integration/).
- **Automated updates.** Status messages to customers at pickup and delivery, alerts to the office when a job runs late, and daily summaries, through [workflow automation](/services/workflow-automation/).
- **Enquiry handling for new business.** A quote request form that routes freight enquiries to the right person quickly, in the same way we built an enquiry form with instant owner alerts for [Jeff Learning Center](/work/jeff-learning-center/).

Where quotes for haulage or project cargo are long and revised often, we can build a quotation workspace like the one we made for [V On Construction](/work/v-on-construction/), with editable line items, PDF export and shareable quotes.

## Off-the-shelf options, and when to just buy one

Several established products already cover transport and warehouse management. Some worth knowing:

- **Detrack** is delivery management software for businesses running their own fleets. Its site describes a driver app with proof of delivery (signatures, photos and timestamps), live tracking with customer notifications, a REST API and webhooks, and native integrations with Xero, QuickBooks and Shopify.
- **CartonCloud** combines a warehouse management system and a transport management system in one platform aimed at 3PLs, with a driver app, paperless proof of delivery, rate cards, a client portal and integrations with Xero and QuickBooks.
- **Zyllem** offers a TMS with route optimisation, GPS tracking and electronic proof of delivery, and lists Singapore among its markets in Asia.
- **Y3 Technologies**, headquartered in Singapore, offers WMS, TMS, order management and dock management systems for larger supply chain operations.

Features and plan coverage change, so check each vendor's current site and ask for a demo with your own jobs. If you are looking at a warehouse management system in Singapore, compare it in the same way: pick, pack and stock accuracy first, then billing, then integrations.

Just buy one when:

- your jobs are standard deliveries or haulage runs with a clear pickup and drop;
- you want proof of delivery and tracking links working this month, not next quarter;
- the product's booking, billing and reporting fit how you already work.

Build or connect when:

- a large customer wants bookings or status in a specific format or portal;
- you run several systems (a WMS, a TMS, an accounting tool) that do not share job references;
- your rate cards and surcharges are too specific for the product's billing module;
- your team still finishes every day by exporting to a spreadsheet.

Our [guide to transport management systems in Singapore](/blog/transport-management-system-singapore/) covers the buying decision in more detail.

## How a project runs

1. **Follow a job end to end.** We trace a few real jobs from booking to invoice, noting every place the details are retyped, and who does it.
2. **Pick the first fix.** Usually the step that causes the most retyping or customer calls, such as booking intake, proof of delivery or billing preparation.
3. **Build the smallest useful version.** One booking channel, one customer or one job type, tested with real jobs and real drivers.
4. **Connect and widen.** We link it to your TMS, WMS or accounting software where they support it, then add customers, job types or portals.
5. **Hand over.** We document how it works and give you access. We can look after it through [website and app maintenance](/services/website-maintenance/), or hand it to your own developer.

We build with common, well-supported web technologies and hosting, so you are not tied to us or to an unusual stack. See [custom software development](/services/custom-software-development/) for how we approach builds.

## Where people stay in control

- **Dispatchers decide.** Suggested assignments or routes can help, but a person confirms who takes which job.
- **Customer messages are reviewed first.** Automated status updates use wording you approve, and exceptions go to a named person.
- **Records are not overwritten.** Changes to a job, a rate or a delivery proof are logged alongside the original.
- **Recipient data is handled with care.** Delivery records contain names, addresses and signatures, so access is limited to the people who need it, in line with Singapore's [PDPA obligations](https://www.pdpc.gov.sg/overview-of-pdpa/the-legislation/personal-data-protection-act/data-protection-obligations).

## Who this suits

- hauliers and container transport firms running their own lorries
- couriers and last-mile delivery companies
- 3PLs offering warehousing and distribution together
- distributors and manufacturers with an in-house delivery fleet, see also [wholesale and distribution](/industries/wholesale-distribution/)

## What to prepare before we talk

- Three or four recent jobs, from booking to invoice, with customer details removed.
- How bookings arrive today and who enters them.
- The TMS, WMS, dispatch sheet and accounting software you use, if any.
- A copy of a typical rate card, with the surcharges that cause the most questions.
- The customer or job type that takes the most of your operations team's time.

## Frequently asked questions

### What is a transport management system?

A transport management system (TMS) is software for planning, dispatching and tracking deliveries or haulage jobs. A typical TMS takes in orders or bookings, assigns them to drivers and vehicles, records proof of delivery and passes completed jobs to billing. Larger systems add route optimisation, carrier management and freight costing.

### Should a small logistics company buy a TMS or build one?

Buy first if your work looks like standard deliveries: jobs come in, drivers take them, customers want a signature and a tracking link. Several established products handle this. Building makes sense for the parts that are specific to you, such as an unusual booking flow, customer-specific rates or a portal for a large account, usually alongside a product you already use.

### Can a TMS or WMS connect to Xero or QuickBooks?

Many can, either through a built-in integration or an API. Check what the vendor supports for your plan, and what data actually moves across: invoices only, or invoice lines with job references and surcharges. Where no integration exists, we can usually build one if both systems offer an API.

### Is there government support for logistics software in Singapore?

Enterprise Singapore's grant schemes changed in 2026: the Productivity Solutions Grant closed to new applications on 29 September 2026, and support now runs through the EDGE Grant. Check Enterprise Singapore and GoBusiness for current eligibility before you commit.

### What about customer and recipient data in delivery systems?

Delivery records hold names, addresses, phone numbers and sometimes photos and signatures. Limit access to the people who need it, keep records only as long as you need them, and make sure your vendors handle data in line with Singapore's PDPA obligations.
