AI for accounting firms is most useful in the high-volume work that surrounds professional judgement: getting documents from clients into the books, matching bank lines, answering routine client questions and preparing first drafts of working papers. Much of the capture and reconciliation work is already covered by products such as Xero, Dext and Hubdoc. FYAdvisers helps Singapore accounting and bookkeeping firms use those products well, and builds the custom pieces around them where a firm's own process needs it. Your team reviews every output before it reaches a client's ledger, a filing or a client inbox.

## Where AI helps an accounting firm

### Document and receipt capture

Clients send receipts, bills and statements by email, WhatsApp, shared folders and the occasional shoebox. Capture tools read each document, extract the supplier, date, amounts and tax, and prepare a transaction for review. Where documents fall outside what your capture product handles well, such as mixed-language receipts, multi-page statements or unusual layouts, [AI document processing](/services/ai-document-processing/) can extract the fields and show each value beside its source for a person to check.

### Bank reconciliation help

Reconciliation is mostly pattern matching: this payment matches that bill, this receipt is a recurring subscription. AI can suggest matches and categories, and leave anything uncertain for a person. Xero, for example, says its JAX automatic reconciliation only reconciles automatically when it is highly confident, and otherwise suggests a match for you to review. The reviewer keeps the final say on anything unusual.

### Client query triage

Client emails mix urgent requests, document submissions, simple questions and complaints. A triage assistant can classify each message, identify the client and engagement, attach it to the right job and draft a reply for the responsible person to check. Routine questions, such as what documents are still outstanding, can be answered from your own records. An [AI assistant](/services/ai-chatbots/) for clients is possible, but replies on tax or accounting positions should come from a qualified person.

### Working-paper drafting

Working papers often start from the same structure each year. AI can prepare a first draft of a lead schedule, variance commentary, a list of queries for the client or a summary of supporting documents, from the data you provide. The preparer and reviewer check the figures, the evidence and the conclusions in the usual way. The draft saves typing; it does not replace review.

### Chasing missing documents

Many delays come from waiting on clients. A [workflow](/services/workflow-automation/) can compare what has arrived against what each engagement needs, prepare a polite reminder listing the gaps, and queue it for a person to approve.

## InvoiceNow and what it changes

IRAS's [GST InvoiceNow Requirement](https://www.iras.gov.sg/taxes/goods-services-tax-(gst)/gst-invoicenow-requirement) says GST-registered businesses must submit invoice data to IRAS using InvoiceNow-Ready Solutions, phased in by date:

- **1 November 2025:** companies that register for GST voluntarily within six months of incorporation.
- **1 April 2026:** businesses applying for voluntary GST registration on or after this date.
- **1 April 2028:** businesses applying for compulsory registration on or after this date, and existing businesses with annual supplies up to S$200,000.
- **1 April 2029:** existing businesses with annual supplies up to S$1 million.
- **1 April 2030:** existing businesses with annual supplies up to S$4 million.
- **1 April 2031:** existing businesses with annual supplies above S$4 million.

Check the IRAS page for the current position and for exclusions before advising clients. For firms, InvoiceNow means more invoices will arrive as structured data that does not need AI extraction. AI capture remains useful for receipts, expense claims, scans and invoices from suppliers outside the network, and for checking that client records line up with what has been submitted.

## Data, confidentiality and governance

Client financial records are confidential and often contain personal data. We design around this:

- **Approved tools only.** Client documents go only into services the firm has approved, under terms you have read. We check whether a provider uses inputs for training, how long it keeps them and where it processes them.
- **Access by client.** Staff see only the clients and engagements they work on.
- **Nothing filed or sent automatically.** Postings, filings and client emails wait for a person.
- **Source kept with every figure.** Extracted values link back to the document, so a reviewer can trace them.
- **Personal data.** Handled under your [PDPA obligations](https://www.pdpc.gov.sg/overview-of-pdpa/the-legislation/personal-data-protection-act/data-protection-obligations). The PDPC's [Advisory Guidelines on the use of personal data in AI recommendation and decision systems](https://www.pdpc.gov.sg/-/media/files/pdpc/pdf-files/advisory-guidelines/advisory-guidelines-on-the-use-of-personal-data-in-ai-recommendation-and-decision-systems.pdf) (1 March 2024) and IMDA's [Model AI Governance Framework for Generative AI](https://aiverifyfoundation.sg/resources/mgf-gen-ai/) (30 May 2024) are useful references.

## Build or buy

Start with what you already pay for. [Dext](https://dext.com/en) captures receipts, invoices and statements sent by mobile, email, WhatsApp or desktop, extracts the details and publishes to QuickBooks Online, Xero, Sage and Zoho, and offers multi-client workflows for accounting firms. [Hubdoc](https://www.hubdoc.com/) captures documents by photo, email forwarding or upload and creates transactions in Xero and QuickBooks Online with the source document attached. Xero offers its own document capture and [JAX automatic bank reconciliation](https://www.xero.com/sg/accounting-software/reconcile-bank-transactions/), which Xero lists for its Standard plan and above in Singapore.

Build, or [connect systems](/services/system-integration/), when the gap is in your own process: client intake, query handling, document chasing, working-paper templates or links between your practice management tool, email and accounting software.

## How a project runs

1. **Discovery.** We map one process, such as month-end bookkeeping for a client type, using sample documents with client details removed. Our [AI readiness assessment](/services/ai-readiness-assessment/) covers this if you want it scoped on its own.
2. **Prototype with your real data.** We run the workflow on a small set of real, approved documents and compare it with your team's work.
3. **Build.** We connect it to your accounting software, document store or practice tools where they offer an API or import.
4. **Human review.** Preparers and reviewers check outputs before anything is posted or sent.
5. **Monitoring.** We look at exceptions and errors with you and adjust rules, prompts and permissions.

We have built a similar document workflow for [Chromatic Media](/work/chromatic-media/), which reads uploaded tender files and prepares a compliance matrix and proposal drafts for the team to review.

## Who this suits

Singapore accounting, bookkeeping and corporate services firms with many clients, repeated monthly work and no in-house developer. It suits firms already using cloud accounting that want the steps around it to run more smoothly. Other professional firms may want to read about [AI for law firms](/industries/ai-for-law-firms/).

## What to prepare before we talk

## Frequently asked questions

### How are accounting firms using AI?

Common uses are capturing receipts and bills from clients, suggesting bank reconciliation matches, triaging client emails and requests, and preparing first drafts of working papers and query lists. A person reviews each output before it is posted, filed or sent.

### Do we need custom AI if we already use Xero, Dext or Hubdoc?

Often not for capture and reconciliation, which these products already cover. Custom work makes sense for the steps around them: chasing missing documents, sorting client queries, handling document types the products do not read well, and connecting your practice tools.

### How does InvoiceNow affect AI document capture?

IRAS is phasing in a requirement for GST-registered businesses to submit invoice data through InvoiceNow-Ready Solutions, from 1 November 2025 for some new registrants to 1 April 2031 for existing businesses with annual supplies above S$4 million. Invoices exchanged through InvoiceNow arrive as structured data, so AI capture matters most for receipts, scans and documents from suppliers outside the network.

### Can AI prepare working papers?

It can prepare a first draft, such as a lead schedule, a variance commentary or a list of queries for the client, from data you provide. The preparer and reviewer still check the figures, the evidence and the conclusions, as they would for a junior's work.

### Is client financial data safe with AI tools?

It depends on the tool and its terms. We check each provider's data use, retention and processing location with you, prefer options that do not use your data for training, limit access by client, and keep client data out of tools the firm has not approved.
